map cataloging practices
SCOPE
Maps constitute a major kind of cartographic material, subject to a variety of standardized cataloging rules. These rules allow for a number of options so that cataloging agencies can better fit map records into their particular situations. This guide will attempt to define the Libraries' map cataloging philosophy without rewriting the widely accepted authoritative treatises.
SOURCES TO BE CONSULTED
Map Cataloging Manual (Washington, DC : Cataloging Distribution Service, Library of Congress, 1991)
Anglo-American Cataloguing Rules. 2nd ed. (Chicago : American Library Assoc., c1988)
PHYSICAL DESCRIPTION FIXED FIELD (007a)
For the majority of maps, LC and RLG catalogers assign the values:
Type of reproduction = n (not applicable)
Production/reproduction details = z (other)
Positive/negative aspect = n (not applicable)
If the map is unusual, e.g. blue-line print, photocopy, facsimile, other values will be assigned. Add these fields if absent on records to be adjusted.
CODED MATHEMATICAL DATA (034)
Details on scale (#a, b) and coordinates (#d, e, f, g) are recorded here in coded format. Always fill in details for scale, but you don't have to add details for coordinates. Be sure that the scale information is stated in textual format in the 255 field (see below).
GEOGRAPHICAL AREA CODE (043)
Nowadays it's not usually added.
TIME PERIOD OF CONTENT (045)
Nowadays it's not usually added.
GEOGRAPHIC CLASSIFICATION CODE (052)
Always assign a numeric/alphanumeric code for each geographic term reflected by a subject added entry. Add such a code also for any geographic area suggested by the subject matter but not so reflected. General areas receive a simple four digit numeric code, with subareas preceded by a letter.
For example:
New York State |
052 __ |
a 3800 |
Chenango Bridge, NY |
052 __ |
a 3804 |
In a word, be generous.
MATHEMATICAL DATA AREA (255)
Scale information (#a) must be filled in. However, projection (#b) and coordinates (#c) you may ignore. In order to make scale determination easier, refer to Oregon State's "scale calculator."
SUBJECT ADDED ENTRIES (650, 651)
With the exception of world maps (650 _0 a World maps.), there must be at least one geographical subject added entry (651). Adjusting existant records frequently involves adding such a field. For example, a given record has only topical subject added entries:
650 _0 |
a Storm sewers |
|
|
650 _0 |
a Drainage |
Add:
651 _0 |
a Chenango (N.Y. : Town)
|
ADDENDUM
Following are copies of two Aleph records -- one a map series/set, the other a single sheet map -- which illustrate very nicely a wide variety of fields. Pay particular attention to the fields hitherto discussed. Note the generous use of 5XX and 6XX fields.
When adjusting pre-AACR2 records, do not attempt to bring them up to full AACR2 standards. However, be sure that all adjusted records, both pre-AACR2 and AACR2, contain the fields 007a, 034, 052, 255, and at least one 651 (unless it is a world map).
