"BOUND WITH" PROCEDURES

Bibliographic Record

When separately issued items are bound together after publication, use MARC field 590 to make a “With Note.” If there are multiple titles bound together, the note in the record for the first title mentions all the succeeding titles bound together in the order they appear in the volume.

The note in the records for each of the other titles mentions only the first title.

 

Example:

 

245 10 $a First title / $c Statement of responsibility.

590 $a Bound with: Second title / Statement of responsibility -- Third title / Statement of responsibility -- Fourth title / Statement of responsibility.

 

245 10 $a Second title /$c Statement of responsibility.

590 $a Bound with: First title / Statement of responsibility. 

 

*Note that the following procedures for Holdings and Item records apply to all "bound with" situations, even when formal "bound with" notes are not used in the bibliographic record. 

 


Holdings Record

In a numbered series or set bound together, the Holdings record 852 field will include the numbers represented in the bound volume.This same call number will be used in the Holdings records for all the bibliographic entities in the bound volume.

Item Record

The volume’s barcode will be linked to the first bibliographic entity in the bound volume.

However, a complete Item record for every bibliographic entity in the volume is necessary for certain Alma functions, such as requests from storage, to work properly.  Therefore, all other bibliographic entities in the bound volume will be given the Alma system-generated dummy barcode, with the prefix changed from BNG to BW.  Then a note will be added to the Public Note box in the Note tab of the Item screen directing the user to the Bound with system no. (MMS ID) of the first bibliographic entity in the volume.

Note that the system-generated dummy barcode will be preceded by a “BNG.” We are changing this to BW so that it's clear at a glance that this is a bound with title.

BOOKS WITH ACCOMPANYING MATERIAL

1. Accompanying materials (maps, diagrams, guides, etc.) are generally found in a pocket in the back of the book. Some remain with the book, while others are shelved separately. When in doubt, ask immediate supervisor for assistance.

 

2. Catalog item per appropriate standards.

 

3. Make sure there is a + $e subfield at the end of the 300 field.*

 

Examples:

 

300 … ; $c 24 cm.+ $e 1 teacher’s guide

300 … ; $c 24 cm. + $e 7 folded maps

300 … ; $c 24 cm. + $e 3 microfiches

300 … ; $c 24 cm. + $e 10 parts.

 

*NOTE: some OCLC records have two 300 fields (one for each piece of material) rather than a single 300 field containing both with a subfield $e. In these cases, don't change the fields, since both methods are correct under RDA; just treat the record as if it has a 300 ... + $e. Still add an 866 field to the holdings and a description to the item record of the accompanying material (if shelved separately), as you normally would.

 

4. In the Holdings recordcreate an 866 field

 

Examples:

 

866 41 $a 1 v. + 1 teacher’s guide

866 41 $a 1 v. + 7 folded maps

866 41 $a 1 v. + 3 microfiches

866 41 $a 1 v. + 4 sheets

866 41 $a 1 score + 10 parts 

 

5. Write the call number on the item, and write the same call number on each piece, which remain attached to the item.

 

6. Do not put barcode(s) on any accompanying materials that remain attached to the main item. Accompanying materials which are shelved separately need their own barcodes and item records.

 

7. When creating an item record for accompanying material that is to be shelved separately, be sure to note in the description field what it is (ex: commentary) so that it will print on the label, and also include this when you write the call number on the physical item. The main item should not get a description.

 

8. Statistics: mark personal statistics as usual. Accompanying materials that remain with the book are not included in the count.
