WEEDING PROJECT GUIDELINES

As you may be aware, both the 3rd and 4th floors of Bartle are filled to capacity. Curtis has requested that the bibliographers weed there areas to create room for new materials.  To that end there will be several thousand books weeded from the stacks. Workflow will be as follows:
 
 
1. Trucks will be brought with books that will either be weeded or will be transferred to the UDC or the Annex.  All trucks should be clearly marked.  If some are not please tell Sandy.
 
 
2. If a book is to be weeded and it is a second copy, just remove the item and holdings information for that copy, leaving the rest of the record untouched.  OCLC holdings should not be removed if we still own a copy of the title.
 
 
3.  If the book to be withdrawn is the only copy or the last copy, the record needs to be removed.  If there is no order record you should be able to remove the record in the following order:
 
 
Item record first, then holdings record, then adm record and finally the bib record.  If you want to go over this with Sandy or Laura, just let them know.
 
 
4.  If there is an order record attached to the bib record, and you are dealing with the last copy of that title, you will not be able to remove it and the book should be placed on the truck marked "Aleph records to be withdrawn".  You can delete the OCLC holdings.  Again please see Sandy or Laura if you need to learn how to delete OCLC holdings.
 
 
5.  If the item needs to be sent to a new location, just adjust the holdings first and then, if needed, change the item status on the item screen.  Changing the holdings record will automatically update the item record with the new location.
 
 
6.  Statistics: Once a book has been withdrawn from our system, you can mark the top of the text block with an X -- best with a marker rather than a pen, and discard it into the recycling bins.  Please do not do this until you are sure everything has been done correctly. If you are unsure, see Laura or Sandy first with your questions. On the sheet provided, place hash marks for the number of titles and number of volumes that have been withdrawn and discarded.
 
 
**For anyone who is withdrawing books and deleting their records, the bibliographers have decided not to withdraw any gifts.  Occasionally they may not realize that something they have pulled is a gift so if you notice any mention of a gift on the record (599 and/or internal note) please do not withdraw the book but put it on the bottom shelf of the truck where withdrawals of books with order records are kept.
 
 

PLEASE ASK ANY QUESTIONS YOU RUN INTO. THERE ARE A LOT OF STEPS AND CHOICES IN THIS PROJECT AND UNTIL WE GET USED TO DOING IT, PLEASE ASK ANYTIME YOU ARE UNSURE OF WHAT YOU ARE DOING.

 

In cases where you change the location of an item rather than discard it, please remember to put the book on the bottom shelf of the current cataloging truck so it can get a new label.  Write the new location UDC or Storage at the top of the call number written in the book.
