Cataloging Department/Desk Copies

1. Catalog the item per cataloging standards. Use a Departmental location instead of the normally assigned location. If item contains floppy disk, CD, or CD-ROM, see Books with Accompanying Computer Disks/Discs. NOTE: Accompanying disks/discs with Departmental books are not copied.

 

2. If the item was ordered for a particular staff member, follow instructions for Departmental copies. In addition, place the following note in both the 852 $x field on the holdings record and in the internal note on the item record: Desk copy for ___________________.

 

3. If the library owns only Departmental copy/copies of the item, suppress the bibliographic and holdings records and change the item status to "02".

 

4. If the library owns more than one copy of the item, both Departmental and Public copies, suppress the holdings record and change the item status to "57" for the Departmental copy, but do not suppress the bibliographic record. This suppresses the Departmental copy, but allows the patrons to view the record and other copies.

 

5. Place a slip in the item indicating that it is a ___________________ DEPT COPY. If the item was ordered for a particular individual, write their name on slip. If it contains accompanying material, attach appropriate label to cover of book.) Send the item to Physical Processing and Labeling for processing.

 

6. Physical Processing and Labeling will complete and notify Department that the book is ready.

 

7. If the book is later sent to the stacks:

  • The bibliographic record will be unsuppressed
  • The holdings record will be unsuppressed, the appropriate location code will be applied and the 852 $x note will be removed
  • In the item record, the internal note will be removed and the item status will be changed to the number corresponding to the stacks location (see Aleph Location Codes List)
  • Any accompanying disks/discs will be copied
  • The book will be relabeled to the appropriate location without the Department in the call number
