IDA PROJECT GUIDELINES
These procedures apply to the IDA Documents collection, i.e., the spiral bound items in Princeton boxes.
- Search Alma for a matching record. If the item is a duplicate, please set it aside, so it can be assessed by the bibliographer.
- DO NOT catalog any serials or photocopied journal articles. These materials should be set aside.
- Search OCLC for matching record. If there is one, update the record with the fields outlined below, then export it to Alma and add IDA template information.
- From the Edit menu, choose Expand from template. Choose the appropriate IDA template and click OK.
- If no matching records can be found, create record an original record on OCLC. Export it to Alma and add the IDA template as above.
*** NOTE: Unpublished manuscripts will have “t” as record type and will only have $c in the 260 field.
Call number:
- All IDA Documents have the call number GN397.I57 no.XXX (use document number from blue label)
- Local call numbers are added as 050 _4 fields now.
Subject Access:
- Consult the suggested list of subject headings for topical subject access points. It is located at:
S drive --> Catalog --> IDA --> Suggested IDA Subject Headings
5XX Notes:
- If the item is a photocopied paper or report (not a photocopied journal article) please include a 533 note as follows:
- Photocopy. $b [S.l. : $c s.n., $d 19-- ]
Fill in the location, name and date of the reproduction if it is included on the document. Change the Form fixed field to “r” for reproduction.
- If the item includes a substantial amount of handwritten notes in the margins, please include this information in a 590 local note, such as “Binghamton University Library’s copy includes handwritten notes in margins,” after exporting to Alma.

- Write the call number on the first inside page as usual.
- Send through book prep.
