"moving" the fy of an invoice
Problem:
We have closed and rolled over FY20. During end of the year cleanup, Accounting notifies us that an invoice allocated to FY20 should have been allocated to FY19. Can we fix it?
Solution:
This is done by re-allocating the PO Lines to required FY fund.
Steps:
- Go into Configuration; and make sure FY19 is "Active."
- Using the Funds search, locate the General Ledger for FY19. Adjust the General Ledger rules to allow for encumbrance and expenditure past the close date.
- Using the Funds search, locate the Allocated Fund and adjust the rules to allow for encumbrance and expenditure past the close date and for over-encumbrance and expenditure, if necessary.
Now, the invoice lines can be adjusted. - Using the invoice search, look up the invoice number. It will have to be "Sent to Review" and then "Edit."
- Select the invoice line you need to change (using the check box), then select "Add or Change Fund," which above the invoice lines. Search for the correct fund, click Add.
- Add a Note to tihe invoice to explain the change, if necessary.
- Save the invoice; the invoice is still in review.
- Search for the invoice again; click Edit and approve.
- Search for the invoice again; check status. It should be "Ready to be Paid."
When done, go back to Configuration and change FY19 to "Inactive."
