SECURITY HANDLING OVERVIEW AND SELECTION GUIDELINES

  • Staff in Acquisitions responsible for receiving materials will separate material needing security treatment and give those items to the Head of Acquisitions.
    • Subject Librarians may pull items from the approval shelf, pull items from firm order carts, or designate items at the time of ordering (by noting it on the ordering slips) to designate an item for "Security Handling."    Written instructions are encouraged.
       
  • The Head of Acquisitions will review those items selected by Acquisitions staff.
     
  • Items determined to warrant security treatment will receive priority for receipt processing and cataloging.
     
  • Items will be hand carried to Book Prep. or Cataloging as appropriate.
     
  • Materials will be housed in locked offices in Acquisitions and Cataloging on trucks labeled "Security Handling" as they await processing.
     
  • Items should be stamped and stripped immediately after the item has been searched and found not to be a duplicate.
     
  • After cataloging, items should be carried to Book Prep and given priority labeling and transported to the appropriate collection area or given to the staff member in charge of the collection area to which the book has been assigned.

 

Collection Designation

  • Items marked for "Security Handling" will be referred to the Subject Heading for a decision on processing to the "Restricted Collection" when appropriate.

These guidelines are intended to assist Acquisitions staff in identifying items that should be removed from the regular workflow, considered for "Security Handling."

Any item that meets one or more of the following criteria will be considered for security handling.

 

Purchase Price

  • Any item costing more than $200

 

Contents

  • Items onsisting primarily of pictures, posters, drawings, etc., that would increase the possibility of theft.
  • Items covering controversial, erotic, sexually explicit, or currently popular topics.


Physical Condition

  • Items that are upon receipt already in a fragile condition.
  • Items produced in a format that encourages theft, such as unbound pictures, drawings, etc.
